How far ahead to book
Peak-season dates go eight to twelve months out. Off-season, three is usually enough — and the conversation about price is very different.
Ask what the rain plan is
An open lawn between June and September needs covered backup. “We have a hall” and “the hall seats your whole guest list” are not the same answer.
Seated is not floating
Venues quote the floating number because it is larger. Ask for seated capacity for the dinner service — that is the one that constrains you.
Count the cars, not the guests
A thousand guests is roughly three hundred cars. Venues quote guest capacity and rarely mention parking.
In-house catering sets your budget
If outside caterers are not allowed, your per-plate rate is fixed before you have negotiated anything. It is the biggest single swing in the total.
What the rental leaves out
Generator hours, setup time beyond the window, rooms for family. Ask which are included and which are billed separately.
